Sydney's event calendar is spread across a handful of recognisable ground types, and each one changes the deployment. Showgrounds — Sydney Olympic Park, Castle Hill, Penrith, Hawkesbury, Camden — are large, gate-driven and usually a two-trailer job. CBD and inner-city street events are the opposite: time-boxed bump-in slots, paved sites, no room for error on positioning. Park and school-ground markets sit in between, and the constraint is normally vehicle access rather than space.

Western Sydney deserves a specific mention because of network pressure. Around Parramatta, Penrith, Liverpool and Blacktown the local cells are busy before an event adds thousands of phones, and stallholders' wireless terminals feel it first. Cash access that runs on its own connection is the practical answer, and it is why we test the connection during bump-in rather than trusting the venue's Wi-Fi.

Coastal and peninsula sites — Manly, Bondi, Cronulla — are access problems more than capacity problems. Single-road access and constrained beachside parking mean the delivery window is agreed with the market manager well before the date, and the trailer is in position before patron arrival rather than threading through a crowd.

Hire models

Flat hire or a share of the surcharge

There are two ways to pay for a Sydney event deployment. A flat equipment hire fee is predictable and suits smaller or shorter events where withdrawal volume is uncertain — you know the cost before the gates open. A surcharge-share arrangement suits high-traffic events, where a share of surcharge revenue offsets or replaces the hire fee and the machines effectively pay for themselves.

Neither model changes what a patron pays: a standard transaction surcharge, typically between $2.50 and $6.00 depending on the setup. What changes is who carries the volume risk. We will tell you which one fits your event based on gates, session times and trading hours, and if a flat fee is the safer choice for you we say so.

Booking

How a Sydney event booking runs

Send the event, the dates and the site. We come back with a machine count, positions read from your site plan, the bump-in and pack-down windows and the hire model, and the whole arrangement is confirmed in writing at least 10 days before the date. Show season and spring festival weekends fill first, so early dates get honest answers rather than provisional holds.

Power, space, cash handling and surcharges

Power and space requirements

Most mobile trailers and standalone units need a standard 240V power supply, or a dedicated generator where mains power is not available, and a flat, level area of roughly 4.5m x 3m with wireless network coverage. Where a site's Wi-Fi or mobile coverage is weak we bring our own connectivity equipment instead — we do not accept dropouts during transactions, so the connection is set up independently and tested before patrons arrive.

Cash loading and security

This is a full-service hire. We manage cash-in-transit, loading and monitoring, so your event staff and volunteers never open a machine or touch internal components. Positioning is agreed against your site plan, and delivery and pack-down windows are confirmed in writing rather than assumed.

Surcharges and earnings

Event hire is priced as an equipment hire fee plus a standard transaction surcharge paid by the person withdrawing — typically between $2.50 and $6.00 depending on the setup. Some high-traffic events qualify for a share of the surcharge revenue or a commission instead of, or alongside, a lower hire fee. Which model suits your event depends on expected withdrawal volume, and we say so plainly before you book.
